SageSims Acceptable Use Policy (AUP)
Effective Date: December 1, 2025
This Acceptable Use Policy (“AUP”) sets the rules for how users may access and use the SageSims platform, content, and related services. It applies to all SageSims products and services, including:
SageSims Decision Readiness Lab
SageSims Campus Lab
SageSims Simulation Coach Academy
SageSims Onsite and Virtual Decision Readiness Intensives
SageSims Onsite and Virtual All Hands Simulation Days (and add-on sessions)
SageSims Decision Readiness Blueprint
SageSims Decision Readiness Action Lab
This AUP applies to all users, including customer employees, contractors, students, facilitators, coaches, and other participants who access SageSims systems or content.
By accessing or using any SageSims product or service, you agree to comply with this AUP, along with any applicable Master Subscription & Services Agreement, Order Form, SOW, Participant Code of Conduct, and your own organization’s policies.
1. Authorized Use and Accounts
1.1 Permitted Users
You may only use SageSims if you are:
Properly provisioned with an account or access link by an authorized customer administrator or SageSims representative, and
Acting on behalf of the customer organization (or institution) that has purchased or been granted access, or as an authorized participant in a specific event or program.
1.2 Account Security
You must:
Keep your login credentials confidential and not share them with any other person.
Use strong, unique passwords where applicable and follow your organization’s security policies.
Notify your internal administrator or SageSims promptly if you suspect unauthorized access or compromise of your account.
You are responsible for all activity under your account unless you promptly report suspected misuse.
1.3 Intended Purpose
SageSims is provided for professional and educational use in leadership, decision-making, and risk simulations. You may use the platform and content only:
For training, workshops, simulations, decision practice, and related internal learning activities approved by your organization.
Within the scope of licenses, programs, or events purchased or agreed with SageSims.
Any other use requires prior written permission from SageSims.
2. Prohibited Activities
You must not use SageSims, or allow others to use SageSims, to:
2.1 Break the Law or Policies
Violate any applicable law or regulation.
Breach your employer’s policies on confidentiality, harassment, discrimination, or information security.
Infringe or misappropriate any intellectual property, privacy, publicity, or other rights.
2.2 Harass or Harm Others
Harass, threaten, abuse, or otherwise harm other users or SageSims staff.
Engage in hate speech, discriminatory remarks, or content that targets individuals or groups based on protected characteristics (such as race, gender, religion, disability, age, or sexual orientation).
Share content that is obscene, sexually explicit, or intended to shock, demean, or intimidate.
2.3 Attack or Tamper with Systems
Probe, scan, or test the vulnerability of any SageSims system or network without explicit written authorization.
Attempt to bypass or defeat security controls or authentication measures.
Introduce malware, viruses, worms, Trojan horses, spyware, or other malicious code.
Engage in denial-of-service attacks, intentional overload, or disruption of any service.
2.4 Misuse of the Platform
Use the platform to run unrelated production workloads, real operational processes, financial transactions, or non-training business processes.
Use SageSims as a general-purpose data storage, file-sharing, or messaging service unrelated to simulations and associated programs.
Scrape, systematically extract, or harvest data or content from the platform (including via bots or automated scripts) except as expressly permitted by SageSims or your agreement.
2.5 Unauthorized Data and Content
Upload or share personal data or confidential information that is not reasonably necessary for the simulation or program, especially highly sensitive categories such as health data, payment card data, or government IDs, unless explicitly agreed with SageSims and governed by a Data Processing Addendum.
Upload content that you do not have the right to use (for example, copyrighted materials without permission, trade secrets, or third-party data) except where authorized by your organization.
Attempt to re-identify anonymized or aggregated data provided by SageSims or your organization.
3. Protection of SageSims Intellectual Property
3.1 Content Ownership
All SageSims scenarios, storylines, prompts, interface designs, templates, and underlying software are owned or licensed by SageSims and protected by intellectual property laws.
3.2 Restrictions on Use of Content
Unless expressly permitted in your agreement with SageSims, you must not:
Copy, reproduce, modify, translate, or create derivative works of SageSims content, simulations, or software.
Reuse SageSims simulations or materials outside your licensed organization or institution.
Resell, sublicense, distribute, or make SageSims content or access available to any third party without SageSims’ written consent.
Remove, obscure, or alter any copyright, trademark, or proprietary notices.
Limited internal use for training and debrief, as described in your organization’s agreement with SageSims, is allowed.
4. Data, Privacy, and Confidentiality
4.1 Respect for Confidentiality
You must treat any confidential information shared in simulations, including scenario details, organizational examples, internal metrics, and personal contributions from participants, as confidential and for learning purposes only.
4.2 Personal Data
If you input personal data into SageSims:
You are responsible for ensuring that such input complies with your organization’s policies and any applicable data protection laws.
You should avoid entering unnecessary sensitive personal data unless clearly required for the program and covered by your organization’s agreement and privacy notices.
4.3 Export and Retention
Any exports, reports, or notes generated from SageSims should be:
Stored and shared only within your organization’s governance and security policies.
Protected from inappropriate disclosure, misdirection, or external publication.
5. Use in Educational Settings (Campus Lab)
For Campus Lab and other educational deployments:
Students and faculty must follow this AUP, their institution’s code of conduct, and any additional classroom policies set by instructors.
Faculty must not require students to disclose personal or sensitive information as part of exercises beyond what is appropriate for the educational context and institution policies.
Academic integrity rules apply. Students must not use SageSims to cheat, misrepresent work, or bypass assessment rules.
6. Use by Facilitators and Coaches (Simulation Coach Academy)
Facilitators and coaches using SageSims, including those trained through Simulation Coach Academy, must:
Model professional, respectful behavior and enforce this AUP and the Participant Code of Conduct during sessions.
Use SageSims scenarios and materials only in accordance with their facilitator or coach agreement and the licenses held by the customer organization.
Not create or deliver competing offerings that copy or substantially replicate SageSims content or proprietary methods.
7. Monitoring, Enforcement, and Reporting
7.1 Monitoring
SageSims may, consistent with applicable law and contracts:
Monitor use of the platform for security, performance, and compliance with this AUP.
Log access and activity to maintain service quality, investigate incidents, and improve the platform.
SageSims does not monitor private content for unrelated purposes and respects contractual and legal confidentiality obligations.
7.2 Violations
If SageSims, or a customer administrator, believes this AUP has been violated, they may:
Issue a warning to the user.
Suspend or terminate a user’s access.
Suspend or limit a session or feature.
In serious or repeated cases, suspend or terminate organizational access in accordance with the applicable agreement.
Report serious misconduct or unlawful activity to the customer organization and, where necessary, to competent authorities.
7.3 Reporting Concerns
If you become aware of behavior or content that may violate this AUP, or any suspected security issue, you should promptly report it to:
Your internal administrator or sponsor, and/or
The contact channel designated by SageSims (for example, security or support email provided to your organization).
8. Relationship to Other Terms
This AUP works together with:
The Master Subscription & Services Agreement (or equivalent) between SageSims and your organization.
Any Data Processing Addendum, Privacy Policy, Terms of Use, Participant Code of Conduct, and relevant SOWs or Order Forms.
Your own organization’s internal policies.
If there is a conflict between this AUP and a signed agreement between SageSims and your organization, that agreement will usually control, except where this AUP is specifically incorporated and given precedence.
9. Changes to this AUP
SageSims may update this AUP from time to time to reflect changes in services, laws, or best practices. The updated AUP will be posted or made available through the platform or your organization’s primary contact. Continued use of SageSims after the effective date of changes constitutes acceptance of the revised AUP.
